Title: Recommendations for software to record portfolio and track sales, etc.
Post by: Zalee on July 03, 2016, 19:37
I've been keeping a very crude record of my files and sales and figure there must be a better way than I'm doing it.

I would appreciate any suggestions or recommendations. Are there any programs specifically for stock?

There are some programs or services, such as e.g. Stock Performer, but I only use MS Excel. This all I need. 1 sheet for every year. Horizontally months, vertically agencies. Converting USD to EUR. Then formulas to calculate the sums. Simple. I don't bother with tracking earnings of individual files.

Unless you are a very big player and need to analyze the data, you will be much better off if you focus on creating new content instead of analyzing too much.

I just use Excel.  I have a worksheet for submissions with every image listed, captions, keywords, etc, plus when it was submitted where and what was the result.  On another worksheet I record sales by agency each month - number of images online at each agency, number of downloads and sales.  From there it is easy to calculate RPI, RPDL or whatever else you want.  It takes a little time to set up the worksheet to automatically do the calculations but is relatively simple and costs nothing additional.

Thanks for your replies. I don't really sell enough to justify paying for a program so I will try making an Excel spreadsheet.

I'm also trying Microstockr which so far looks good and saves checking each page individually.

if you don't have MS Office there is plenty of open source  software that is Office compatible

You can try StockPerformer free for 30 days. It's a very nice tool but doesn't support all the sites yet. It does have support for the main ones though and you can get a very nice overview really quickly.

I started out keeping detailed numbers on spreadsheets but eventually realized it wasn't worth my time. Paypal tells me how much I am payed by each agency, and each agency provides data on what is sold. Beyond that, it's not worth my time to track everything. Maybe I am just lazy but my time is limited and best spent shooting.
